Subscription cancellation

Effective 16 September 2026

This policy explains the practical cancellation rules forQuercusQuote trials and paid subscriptions. The service is offered to businesses only and this policy forms part of our Terms of Service.

Cancel at any time

The workspace owner may switch off automatic renewal at any time in the secure billing portal or by emailing support@quercusquote.app. There is no cancellation fee and no limited cancellation window.

When cancellation takes effect

Unless an accepted order expressly states a minimum commitment, cancellation takes effect at the end of the billing period already paid for. You retain normal access until that date and no further monthly or annual renewal is taken. Cancel before the renewal is processed to avoid the next charge.

Trials

The standard offer is 30 days free with no payment details required. Nothing is charged and the trial does not convert automatically. To continue, the workspace owner must actively choose a paid subscription and complete secure checkout. Checkout completed during an active trial saves the chosen payment method but does not charge it immediately; the first monthly payment is scheduled for the displayed trial-end date. The owner may cancel through the billing portal before that first payment. Trial eligibility is limited to one trial per verified identity and may not be reset by recreating or deleting a workspace.

Refunds

Subscription fees already paid are not normally refunded or credited for a partly used billing period. We will correct duplicate or incorrect charges, honour any express written refund commitment and provide any refund required by applicable law. Nothing in this policy removes mandatory rights that cannot legally be excluded. If we end the service without your breach, we refund prepaid charges for the unused period. Where Link is the seller identified at checkout, its applicable payment and refund terms also apply; contact us if you need help identifying the correct refund route.

Data when the subscription ends

Export the business workspace from Account before paid access ends. When an unpaid trial expires, operational content and self-service export are locked, but account deletion and data-subject request routes remain available. An expired-trial workspace is retained for six months from trial expiry, with advance deletion warnings, then its application data is deleted if no subscription has been completed. Provider recovery copies age out under their separate backup schedules and are not represented as disappearing instantly. We provide a reasonable post-cancellation opportunity to request an export. Cancelling renewal does not itself erase the workspace or sign-in identity. Request return or deletion under the DPA, or use the separate workspace deletion action. That action immediately cancels the subscription and removes live workspace data, but retains your sign-in identity and required records. Contact privacy@quercusquote.app for identity erasure or a wider personal-data request. Exported copies and copies on other devices are not remotely erased by that action.

Reactivation and plan changes

A scheduled cancellation may be reversed before the paid period ends where the billing portal permits it. Upgrades or downgrades are shown before confirmation; unless stated otherwise, downgrades apply from the next renewal.
